Question 1

What exactly is FireVault and what does it do?

Accepted Answer

FireVault is a complete fire safety compliance management platform built specifically for UK businesses. It lets you schedule and record inspections, store compliance documents securely, manage actions and remedial work, track staff training, and generate audit-ready reports — all from one dashboard. It's designed to help you demonstrate due diligence under the Regulatory Reform (Fire Safety) Order 2005.

Question 2

How long does it take to get set up?

Accepted Answer

Most businesses are fully operational within 30 minutes. After registering, you'll add your company profile, create your first premises, and invite team members. Our built-in Portal Training Academy walks you through every feature with 12 short modules, so you and your team will know exactly how to use the platform from day one.

Question 3

Do I need any technical knowledge to use FireVault?

Accepted Answer

Not at all. FireVault is designed for fire safety officers, facilities managers, and business owners — not IT specialists. If you can use a web browser or a smartphone, you can use FireVault. The interface is clean, intuitive, and guides you through every step of the compliance process.

Question 4

Can I try FireVault before committing?

Accepted Answer

Yes. Every new FireVault account starts with a 90-day free trial — no credit card required. You get full access to all features during the trial. After 90 days, choose a subscription (Business Management at £39.99/month or Assessor at £79.99/month) to continue. Your data is retained throughout.

Question 5

Is FireVault compliant with UK fire safety law?

Accepted Answer

Absolutely. FireVault is built specifically around the Regulatory Reform (Fire Safety) Order 2005 (RRO 2005), which is the primary fire safety legislation in England and Wales. Every inspection type, checklist, and report aligns with RRO 2005 requirements, so the records you produce are suitable for demonstrating due diligence to inspecting officers, insurers, and auditors.

Question 6

Does using FireVault guarantee I'm legally compliant?

Accepted Answer

FireVault is a powerful compliance management tool, but no software alone can guarantee legal compliance — you still need to complete inspections correctly, act on findings, and maintain competent fire safety advice. What FireVault does is make it dramatically easier to manage, evidence, and demonstrate your compliance efforts, significantly reducing the risk of gaps or missed deadlines.

Question 7

What types of inspections can I record?

Accepted Answer

FireVault uses your premises information — the premises/use type, building characteristics (height, storeys) and the fire-safety systems and facilities you have recorded — to automatically determine which inspections apply. You don't need to choose which checks to complete; FireVault builds the inspection profile for you. Common checks include weekly fire alarm panel tests, fire door visual checks, escape route checks, monthly emergency lighting tests, extinguisher visual checks, sprinkler visual checks, specialist servicing records, and (for relevant residential buildings) statutory residential and high-rise checks under the Fire Safety (England) Regulations 2022.

Question 8

Can FireVault help during a fire service audit?

Accepted Answer

Yes — this is one of its greatest strengths. Every inspection is timestamped, GPS-tagged, and digitally signed, creating an unbreakable audit trail. You can generate a complete audit pack in seconds showing every check completed, who completed it, when, and with what evidence. Inspecting officers consistently report that digital records are faster and more thorough to review than paper logbooks.

Question 9

How does FireVault decide which inspections I need?

Accepted Answer

FireVault uses the information recorded about your premises — the premises/use type, building height, number of storeys, residential classification, and the fire-safety systems and facilities you have identified (e.g. sprinklers, AOV/smoke control, EVC, dry/wet risers, firefighting lift) — to determine which routine fire-safety inspections apply. You don't need to know which checks apply to every type of premises; FireVault builds the inspection programme for you.

Question 10

Why do I have different inspections from another business?

Accepted Answer

FireVault creates inspection requirements based on the premises information and fire-safety facilities recorded for each premises. Different types of premises have different applicable inspections, so you may not see the same inspections as another business. A small office with no sprinkler system will have a very different inspection profile from a high-rise residential block with a firefighting lift.

Question 11

Why don't I see a sprinkler inspection?

Accepted Answer

Sprinkler inspections are only allocated where the premises is recorded as having a sprinkler system. If you have a sprinkler system but don't see the check, review your premises information and tick the 'Sprinkler system installed' box in the facilities section. If the information is incorrect, update the premises profile and FireVault will adjust the inspection plan.

Question 12

Why am I seeing an AOV / smoke control inspection?

Accepted Answer

Your premises is recorded as having an AOV (automatic opening vent) or smoke control system. FireVault has therefore included the relevant routine visual check. If this is incorrect, update the premises facilities information.

Question 13

Why am I seeing residential fire-door checks?

Accepted Answer

FireVault has identified the premises as a relevant residential building (e.g. a purpose-built block of flats or an HMO). Certain residential fire-door requirements apply depending on the building characteristics — for example, buildings over 11 metres have quarterly communal door checks and annual flat-entrance door checks under the Fire Safety (England) Regulations 2022.

Question 14

Why am I seeing high-rise inspections?

Accepted Answer

FireVault has identified the premises as meeting the relevant high-rise residential criteria (18m+ or 7+ storeys) recorded in the premises profile. This activates additional applicable fire-safety checks including monthly firefighting lift checks, quarterly wayfinding signage checks, and quarterly secure information box checks under the Fire Safety (England) Regulations 2022.

Question 15

Can I remove an inspection?

Accepted Answer

Routine checks are generated from the premises inspection profile. If an inspection appears incorrect, review the premises information (type, height, facilities) or ask an authorised assessor/administrator to review the inspection plan. Statutory checks must not be removed by ordinary users simply because they are inconvenient — they reflect legal requirements that apply to the premises.

Question 16

Can FireVault replace specialist servicing?

Accepted Answer

No. FireVault's routine inspection system is designed to support routine fire-safety management and visual checks carried out by the business owner or responsible person. Specialist inspection, testing, servicing and maintenance (e.g. fire alarm servicing, sprinkler valve service, lift maintenance) should be undertaken by appropriately competent persons where required. FireVault records the evidence of these specialist services but does not perform them.

Question 17

Does completing a FireVault check mean my premises is legally compliant?

Accepted Answer

No. Completing routine checks does not by itself demonstrate full fire-safety compliance. FireVault supports fire-safety management, inspection records and action tracking. The Responsible Person remains responsible for ensuring the premises is appropriately managed and that a suitable and sufficient fire risk assessment is in place and kept under review where required.

Question 18

What's the difference between a routine check and a specialist service?

Accepted Answer

Routine checks (labelled 'Routine' or 'Management') are visual/management checks carried out by the business owner or responsible person — for example, checking that fire doors close, escape routes are clear, or the fire alarm panel shows normal. Specialist services (labelled 'Specialist') must be carried out by a competent person or certified technician — for example, a 6-monthly fire alarm service or sprinkler valve service. FireVault clearly labels each check so you know which ones you can do yourself and which require a specialist.

Question 19

How does the smart scheduling work?

Accepted Answer

When you create a premises and provide the building information and fire-safety systems/facilities, FireVault automatically generates the appropriate inspection profile and schedules the relevant recurring inspections (weekly, monthly, quarterly, biannual or annual). The platform sends dashboard alerts and email reminders before each check is due, naming the specific inspection (e.g. 'Fire Alarm — Routine Check'). You don't need to manually set up recurring schedules — FireVault creates them from the premises profile.

Question 20

Can I manage multiple premises from one account?

Accepted Answer

Yes. FireVault is built for multi-site operations. You can manage unlimited premises (depending on your plan) from a single dashboard, with traffic-light compliance scores per site, instant switching between locations, and portfolio-level reporting. Whether you have 1 site or 500, everything is centralised.

Question 21

How does the AI-powered risk assessment extraction work?

Accepted Answer

When you upload a Fire Risk Assessment (FRA) PDF, our AI engine analyses the document and automatically identifies recommended remedial actions, assigns priority levels, and creates trackable action items linked to the relevant premises. This saves hours of manual data entry and ensures no recommendation is overlooked.

Question 22

What document types can I store in the secure vault?

Accepted Answer

FireVault supports fire certificates, servicing certificates, maintenance records, training certificates, insurance documents, building plans, fire strategies, risk assessments, policies, legal agreements, and more. Documents are automatically versioned, fully searchable, and receive expiry alerts so you're always current.

Question 23

Does FireVault work on mobile devices?

Accepted Answer

Yes. FireVault is fully responsive and works seamlessly on smartphones, tablets, and desktops. You can complete inspections on-site using your phone's camera to capture evidence photos, record GPS location, and sign digitally — all without an app download. Just open your browser and log in.

Question 24

Can FireVault track outstanding fire safety actions?

Accepted Answer

Yes. FireVault provides a central dashboard showing outstanding actions, responsible persons, deadlines and completion evidence. You can filter by fire assessor, facilities, site management, contractor and fire warden actions, and monitor overdue and awaiting-evidence items across every site.

Question 25

Can site managers complete actions without a FireVault account?

Accepted Answer

Yes. Secure completion links allow site managers to upload evidence and confirm completion without requiring full system access. They receive a link by email, complete the action, upload photos or documents, and the responsible person reviews and closes it on the dashboard.

Question 26

Can large organisations manage multiple sites?

Accepted Answer

Yes. The Business Management plan includes full multi-site action management and reporting, with regional monitoring, automated reminder and escalation workflows, and audit-ready evidence trails across the whole portfolio.

Question 27

Can I generate compliance documents for my clients through FireVault?

Accepted Answer

Yes. FireVault's Client Document Generator lets fire risk assessors produce site-specific Fire Emergency Plans, Fire Procedures and Fire Safety Policies for their clients using a subscription allowance. Each document is saved against the client's premises with full version history, so older copies are always retained for audit.

Question 28

Can I upload my own company documents instead of using the generator?

Accepted Answer

Absolutely. Assessors can drag and drop their own existing policies, plans and procedures straight into the premises document library — everything, generated or uploaded, is stored in one place, organised by premises and versioned automatically.

Question 29

Are previous versions of a document kept?

Accepted Answer

Yes. Whenever you generate or upload a new version of a document for a premises, the previous version is marked as superseded but never deleted. You can view and download any historical version at any time, giving you a complete audit trail for every site.

Question 30

What is the Training Academy?

Accepted Answer

The FireVault Training Academy is a built-in learning hub with 12 modules covering every feature of the platform. It includes video tutorials, step-by-step guides, and end-of-module quizzes. Complete all 12 modules to earn your Platform Competency Certificate — proof that your team knows how to maximise the platform's value.

Question 31

Can I assign fire safety training to my staff through FireVault?

Accepted Answer

Yes. In addition to portal training, the Academy supports fire safety courses such as Fire Warden duties, evacuation procedures, extinguisher use, and fire safety awareness. You can assign courses to specific employees, set due dates, track completion, and download certificates — all from one place.

Question 32

Does FireVault track training certificate expiries?

Accepted Answer

Absolutely. When you record a training certification with an expiry date, the platform automatically flags it as 'expiring soon' 30 days before, and 'expired' once it lapses. Dashboard alerts ensure you renew training on time, keeping your team's competencies current.

Question 33

Where is my data stored and is it secure?

Accepted Answer

All data is stored on servers located within the United Kingdom, in accordance with UK GDPR. We use industry-standard TLS 1.2+ encryption for data in transit and at rest. Access is restricted by role-based permissions, and every action within the platform is permanently logged in an immutable audit trail.

Question 34

Is FireVault GDPR compliant?

Accepted Answer

Yes. FireVault operates as a Data Processor on behalf of customers (Data Controllers) for compliance data, and as a Data Controller for account and billing information. We adhere to all seven UK GDPR principles, support data subject rights, and do not transfer data outside the UK. Full details are in our Privacy Policy and GDPR Policy.

Question 35

Who owns the data I upload?

Accepted Answer

You do. Customers retain full ownership of all compliance data entered into the platform. You can export your data at any time during an active subscription, and upon cancellation you have 30 days to export everything before scheduled deletion.

Question 36

Can I control who sees what in my organisation?

Is there a 50% introductory offer?

Accepted Answer

Yes — during your trial you may see a 50% off offer for your first 3 months of subscription. This is applied automatically at checkout when you click the offer. The offer cannot be combined with other discounts.

Question 50

What documents can I generate through FireVault?

Accepted Answer

Through the FireVault Compliance Document Store you can generate three site-specific fire safety documents: Fire Emergency Plans, Fire Procedures, and Fire Safety Policies. Each document is generated using the information you provide about your premises and the correct legislation for your region. Documents should be reviewed and kept current to reflect any changes in your arrangements.

Question 51

Are FireVault documents a replacement for a Fire Risk Assessment?

Accepted Answer

No. FireVault documents are designed to support your fire safety management arrangements — for example by documenting your emergency plan, procedures and policy. They do not replace a suitable and sufficient fire risk assessment where one is required by law. A competent fire risk assessment should be carried out and kept under review separately.

Question 52

How is the price of a document determined?

Accepted Answer

Each document is priced by premises size — Small, Medium (or Professional), and Large (or Complex). Smaller premises with straightforward arrangements cost less, while larger or more complex buildings cost more because the document covers more detail. The price for each tier is shown clearly on the document card in the store before you purchase, so you always know the cost upfront.

Question 53

What are bundle packs and how much do I save?

Accepted Answer

Bundle packs let you buy multiple compliance documents together at a discounted price. The Fire Compliance Starter Pack includes all three documents — Fire Emergency Plan, Fire Procedures, and Fire Safety Policy — at the Medium/Professional tier, saving you £148 compared to buying them individually. Bundle packs are the most cost-effective way to get your full set of compliance documents.

Question 54

How do I purchase a document?

Accepted Answer

Open the Compliance Document Store, choose the document you need, select your premises size tier, complete the guided questionnaire about your premises, and pay through Stripe. Your document is then generated instantly and saved securely inside FireVault, where you can review, download and manage it at any time.

Question 55

How long does it take to generate a document?

Accepted Answer

Documents are generated instantly. Once you complete the questionnaire and payment is confirmed, your professionally formatted document is produced and ready to download immediately — no waiting, no back-and-forth with a consultant.

Question 56

Does the document use the correct legislation for my region?

Accepted Answer

Yes. Every document is generated with the correct legislation for your jurisdiction — England, Wales, Scotland, or Northern Ireland. The platform never displays legislation or terminology belonging to a different jurisdiction, so your document always references the right legal framework.

Question 57

Where are my purchased documents stored?

Accepted Answer

All generated and purchased documents are saved in your Business Dashboard under Documents. From there you can view, download, version and set review reminders for each document.

Question 58

Can I edit a document after it's been generated?

Accepted Answer

Yes. After generation, your document is saved as a Compliance Document in your dashboard. You can regenerate it with updated information at any time, and previous versions are always retained so you have a complete audit trail of every version issued.

Question 59

What is the difference between a FireVault master template and a custom template?

Accepted Answer

FireVault master templates are the built-in, professionally authored templates that ship with the platform — covering inspections, fire policies, emergency plans, and fire procedures. They are protected and cannot be deleted or directly edited. Custom templates are your own versions, created by duplicating a FireVault master and then tailoring the sections, questions, answer options, and wording to suit your business. Custom templates are clearly labelled with a CUSTOM badge so you always know which is which.

Question 60

How do I create a custom template?

Accepted Answer

Go to the Template Library, find the FireVault master template you want to customise, and click 'Duplicate'. This creates a copy in your company's library that you can fully edit — rename it, add or remove sections, change question wording, adjust answer options and finding triggers, and save it as a draft or publish it for your team to use.

Question 61

Can I save an inspection or document as a template for next time?

Accepted Answer

Yes. When you create an inspection or generate a compliance document, you can use 'Save as Template' to store the current configuration as a reusable custom template. This is ideal when you've tailored a checklist or questionnaire for a specific type of premises and want to use the same setup again without starting from scratch.

Question 62

What happens to existing documents when I edit a template?

Accepted Answer

Historical records are never altered. When you edit and save a new version of a template, only future documents created from that template use the new version. Any inspection, policy, or procedure already completed with a previous version of the template remains immutable and unchanged — preserving your audit trail and the integrity of historical records.

Question 63

Does FireVault keep version history for templates?

Accepted Answer

Yes. Every time you save a new version of a custom template, the previous version is automatically snapshotted into the template's version history. You can view who made each change, when, and roll back to an earlier version if needed. This ensures full traceability of how your templates have evolved over time.

Question 64

Can assessors create and manage their own templates?

Accepted Answer

Yes. Assessors have their own Template Library where they can duplicate FireVault master templates, create custom templates for fire policies, procedures, and emergency plans, and manage them independently. Assessor templates are scoped to the assessor's company, so team members can share and collaborate on templates within the same organisation.
